Bedford Tutor Online Tuition Terms & Conditions (Updated 11/07/26)

Please read these Terms & Conditions carefully. By booking or attending lessons, you confirm your acceptance of the terms below.

1. Definitions
● Client The Client is the adult (18+) responsible for booking and/or paying for tuition and ensuring the Student can attend sessions. There may be more than one Client per Student.
● Student The Student is the child receiving tuition from Bedford Tutor.
● Tutor The Tutor refers to either Annabel Louise or Helena.
● State School Term Bedford Tutor follows Bedford Borough Council term dates. During school holidays, alternative arrangements may apply and should be discussed with a Tutor.

Please note: Any terms marked with the 📚 icon apply during term time only.

School holiday sessions are available throughout all school holidays on a pay as you go basis. Sessions can be booked as needed and are subject to availability.

2. Safeguarding & Online Learning Environment
● All online lessons operate in line with Bedford Tutor’s Safeguarding Children Policy.
● To ensure safe and effective learning:
1. Students must use a screen of at least A5 size with a working webcam and microphone
2. Phone screens are not suitable
3. Online sessions must not be recorded
4. A responsible adult must be present in the home during the lesson
5. Clients must not sit with the Student during the session
● Students must:
1. be fully dressed
2. be seated at a desk or table
3. work in a quiet, distraction-free space
● If these conditions are not met, the session may not proceed and the full fee will still apply.

3. Illness & Attendance Policy
● To protect Students, Clients, and Tutors, online sessions should not take place if a Student is unwell beyond what would be appropriate for a normal school day.
● Where symptoms are mild and the Student would otherwise attend school, the online session should still proceed.
● If a Student is too unwell to participate meaningfully, the cancellation terms below apply.
● Clients must inform Tutors of any medical conditions or allergies before tuition begins.

4. Fees & Payments
1. Most online sessions are 30 minutes
2. Some 45-minute sessions may be offered for students aged 10+ (Year 6 / Grade 5 and above) by agreement only
3. Sessions must be paid for in advance, usually in blocks of five lessons*
● A regular weekly slot reserves a specific day and time for the Student and cannot be held without payment. 📚
● If a Tutor cancels a session, it will be credited or rescheduled at no cost.
● Payment for the next block is requested when one session remains. Failure to pay by the stated date may result in loss of the regular slot.
● Payment methods:
1. UK Clients: bank transfer
2. International Clients: Stripe

*Students in Years 10–11/Grades 9–10 are offered sessions on a weekly booking basis only, rather than in blocks of five.
This approach allows flexibility around school commitments, examinations, and changing schedules, helping lessons remain calm, supportive, and responsive to each student’s needs.

5. Availability & Session Structure
● Bedford Tutor provides a set lesson every week when a Student holds a regular lesson position, subject to the Tutor(s) being fully well. 📚
● Only one regular weekly session is guaranteed per Student to ensure fairness. 📚
● Students on the waiting list may be offered ad-hoc or occasional sessions subject to availability.
● Additional or irregular sessions may be offered subject to availability.

6. Lateness & Technology
● Sessions begin and end at the scheduled time.
● If a Student joins late, the session will still end at the regular time and will not be extended.
● Clients are responsible for ensuring technology is working before the session.
1. If Tutor technology fails, no charge will be made
2. If Student technology fails, Tutors may attempt to continue via phone where possible; the full fee will still apply
